This Refund Policy outlines the conditions under which refunds may be granted.<\/p><ol><li><strong><b> Scope of the Policy<\/b><\/strong><\/li><\/ol><p>This Refund Policy applies to payments made to WARIMA, including but not limited to:<\/p><ul><li>Conference and workshop registration fees<\/li><li>Training programme fees<\/li><li>Event participation fees<\/li><li>Other payments collected for WARIMA-organised activities<\/li><\/ul><p>Unless otherwise stated, this policy does <strong><b>not<\/b><\/strong>\u00a0apply to non-refundable membership dues.<\/p><ol start=\"2\"><li><strong><b> General Refund Conditions<\/b><\/strong><\/li><\/ol><p>Refunds may be considered under the following conditions:<\/p><ul><li>A written request for a refund is submitted by the payer<\/li><li>The request is made within the timelines stated in this policy<\/li><li>The payment was made directly to WARIMA through approved payment channels<\/li><\/ul><p>All refunds are subject to administrative review and approval by WARIMA.<\/p><ol start=\"3\"><li><strong><b> Conference and Event Registration Refunds<\/b><\/strong><\/li><li><strong><b> Participant-Initiated Cancellations<\/b><\/strong><\/li><\/ol><ul><li><b><\/b><strong><b>Requests made 30 days or more<\/b><\/strong>before the event date:<br \/>Up to <strong><b>70% refund<\/b><\/strong>\u00a0of the registration fee (after administrative deductions).<\/li><li><b><\/b><strong><b>Requests made 14\u201329 days<\/b><\/strong>before the event date:<br \/>Up to <strong><b>50% refund<\/b><\/strong>\u00a0of the registration fee.<\/li><li><b><\/b><strong><b>Requests made less than 14 days<\/b><\/strong>before the event date:<br \/><strong><b>No refund<\/b><\/strong>\u00a0will be issued.<\/li><\/ul><ol><li><strong><b> Non-Attendance<\/b><\/strong><\/li><\/ol><p>Failure to attend an event without prior written cancellation does not qualify for a refund.<\/p><ol start=\"4\"><li><strong><b> Event Modification or Cancellation by WARIMA<\/b><\/strong><\/li><\/ol><p>If WARIMA cancels or significantly reschedules an event:<\/p><ul><li>Participants may choose between a <strong><b>full refund<\/b><\/strong>or<\/li><li><b><\/b><strong><b>Transfer of payment<\/b><\/strong>to a future WARIMA event or programme.<\/li><\/ul><p>WARIMA is not responsible for additional costs incurred by participants (e.g., travel, accommodation).<\/p><ol start=\"5\"><li><strong><b> Substitution Policy<\/b><\/strong><\/li><\/ol><p>Where a participant is unable to attend, a substitution may be permitted:<\/p><ul><li>A replacement participant may attend at no additional cost<\/li><li>Substitution requests must be submitted in writing before the event<\/li><\/ul><ol start=\"6\"><li><strong><b> Processing of Refunds<\/b><\/strong><\/li><\/ol><ul><li>Approved refunds will be processed within <strong><b>14\u201330 working days<\/b><\/strong><\/li><li>Refunds will be made using the original payment method where possible<\/li><li>Transaction or bank charges may be deducted from the refund amount<\/li><\/ul><ol start=\"7\"><li><strong><b> Non-Refundable Payments<\/b><\/strong><\/li><\/ol><p>The following payments are <strong><b>non-refundable<\/b><\/strong>, except where required by law:<\/p><ul><li>Membership dues<\/li><li>Sponsorship fees<\/li><li>Donations<\/li><li>Late cancellation fees<\/li><\/ul><ol start=\"8\"><li><strong><b> Exceptional Circumstances<\/b><\/strong><\/li><\/ol><p>WARIMA may, at its discretion, consider refunds outside this policy in exceptional circumstances such as medical emergencies or force majeure events, subject to documentation.<\/p><ol start=\"9\"><li><strong><b> Policy Changes<\/b><\/strong><\/li><\/ol><p>WARIMA reserves the right to amend this Refund Policy at any time.
